APS Makes FFCRA Credit Tracking and Management Easier

With the passing of the Families First Coronavirus Response Act (FFCRA), APS immediately began working to gain a better understanding of the legislation and how this would impact our customers. Our development team has been working hard to make it easier for our clients to track and manage FFCRA sick leave.

There’s so much complexity around the FFCRA and a burden is being placed on employers right now. Our development and quality assurance teams worked around the clock to ensure the release was ready for the start date. As of April 6, 2020, our customers can now take advantage of the credits. Our system is simplifying and automating FFCRA compliance processes as much as possible to reduce the burden on our customers.

New FFCRA Income Types in APS

For qualified sick payments under the FFCRA, APS has developed and released four new income types. We created these additional income options to make it clearer and easier for clients to manage employee paid sick leave. These income types support the payment of wages under the FFCRA that are exempt from Social Security and Medicare taxes:

Question Mark

COVID-19 None

Used when tracking leave related to Coronavirus that does not fit within the parameters of one of the categories below. This type of income is not eligible for a tax credit.

COVID-19 Quarantine

Used for an employee who is unable to work because of Coronavirus quarantine or self-quarantine or has Coronavirus symptoms and is seeking a medical diagnosis.

COVID-19 Care For Others

Used for an employee who is caring for someone with Coronavirus, or is caring for a child because the child’s school or child care facility is closed; or, the child care provider is unavailable due to the Coronavirus.

COVID-19 Childcare

This FMLA expansion credit is used for an employee who is unable to work for a period longer than two weeks because of a need to care for a child whose school or child care facility is closed or whose child care provider is unavailable due to the Coronavirus.

Automated Credits Owed to Qualified Sick Employees

To further simplify the tracking and management of FFCRA credits, our solution will automatically cap the credit amount based on the maximum aggregate as defined by the FFCRA on a per employee, per qualified sick payment basis. This eliminates the need for clients to manually track credit amounts claimed per employee. 

When FFCRA income types are used, the system will automatically calculate the paid sick leave credits. This eases the work and complexity that would otherwise fall to employers, so they can focus on taking care of their employees and taking advantage of much needed financial relief. 

Simplified IRS Documentation Management

To further simplify the tracking and documentation of credits, APS has also provided two forms for employees to complete when requesting emergency leave under the FFCRA:

  1. FFCRA Certification of Leave for Employee
  2. FFCRA Certification of Leave for Family Member

These certification letters are in accordance with IRS guidelines on what information is required to be collected for employers to claim a tax credit for reimbursement of paid leave they provide their employees. Customers can download these forms from APS and even incorporate a company logo prior to sharing with employees in the self-service site. Completed forms may be uploaded and stored in the employee record in the event of an IRS audit.

Once the FFCRA income types are enabled and written authorization has been received from employees, no further action is required from employers. Clients can simply use APS as they normally would, and we’ll take care of the rest.

How APS FFCRA Tracking and Management is Different

Since APS is designed as one system, all tax tables and calculations are performed on the same platform. This unified approach allowed our development team to quickly create FFCRA tracking and management, rather than having to pass data to other third-party systems that manage tax payment and filing. As a result, we’ve eliminated manual tracking of tax calculations and paid sick leave credits. APS will automatically calculate the credits and the information is available in one convenient location.

This report will provide detailed information that may be used to validate eligibility for PPP loan forgiveness, including each employee who was on the payroll during the period and what was paid to them.

CARES ACT CREDIT REPORTING

The APS system will track which employers are deferring Social Security tax payments, and who is claiming employee retention credits. This ensures customers cannot inadvertently claim both credits.
