What is headcount management software?
Headcount management software tracks the gap between how many employees you have and how many you planned to have. APS Headcount displays this variance in real time, broken down by department, so HR Directors and CFOs can assess staffing health without waiting on a manually built report or a quarterly review.
How does APS calculate headcount variance?
APS takes the total number of positions configured in Position Management and subtracts the number of employees currently assigned to those positions. Unassigned active employees are also factored into the calculation. A positive result means understaffed. A negative result means overstaffed. Both figures update automatically whenever a change is processed in the system.
Can I set my own thresholds for understaffed and overstaffed?
Yes. In Admin under Workforce Options, you can configure both the understaffed maximum and overstaffed maximum values. These settings determine where the green safe zone appears on the Open Headcount Health Meter, so the dashboard reflects your organization’s specific tolerance for staffing variance, not a one-size-fits-all default.
Does the headcount dashboard update automatically?
Yes. APS Headcount pulls live data from the same unified database as your payroll, HR, and attendance modules. When a hire or termination is processed anywhere in the system, your headcount figures update without any manual input from your team.
Do I need other APS modules to access Headcount?
APS Payroll is required to access any module in the APS platform. Headcount is part of the Workforce product and works in direct connection with Position Management. Your project team will walk you through how these modules connect during your implementation.
