APS Retention: Department-Level Turnover Data That Helps You Act Before People Walk Out
Track your retention rate, monitor departure trends, and understand employee tenure across every department, built directly into the APS platform you already use, updated in real time.
Retention Intelligence That Turns Turnover Into Action
How It Works
-
When a termination is processed in APS, the retention data captures automatically. Your payroll team does nothing different. Departure type, stated reason, and employee tenure at time of separation all record without a separate step.
-
At the close of each month, APS compares starting and ending headcount to produce your retention percentage. No spreadsheet, no formula, no manual input required from HR.
-
APS compares each month’s retention rate to the prior month and calculates the difference. Your HR Director sees whether retention improved or declined without pulling historical files to make the comparison.
-
Define your Retention Rate Minimum — the floor below which the Health Meter signals that action is needed — so the dashboard reflects your organization’s standard.

Frequently Asked Questions
What is employee retention software?
Employee retention software tracks the rate at which your organization keeps employees over time and helps HR leaders identify where and why people are leaving. Retention is built directly into the APS Workforce platform, so your retention data connects to headcount, payroll, and HR records without a separate system, additional cost, or manual imports.
How does APS calculate employee retention rate?
APS divides the number of employees at the end of a month by the number of employees at the start of that same month. A company that begins a month with 100 employees and ends with 97 has a 97% retention rate for that period. APS also calculates a trend percentage comparing the current month to the prior month, so your HR team can see whether retention is improving or declining over time.
Can I customize my minimum acceptable retention rate?
Yes. In Admin under Workforce Options, you can set your Retention Rate Minimum, which defines the lower threshold of the green safe zone on the Retention Health Meter. When your retention rate drops below that threshold, the meter gives your team an immediate visual signal that action is needed.
What is the difference between voluntary and involuntary turnover in APS?
Voluntary turnover covers separations where the employee chose to leave, such as resignations. Involuntary turnover covers separations initiated by the employer, such as terminations. APS records both types in the Turnover Grid alongside a stated departure reason, so your HR Director can distinguish between the two and respond accordingly.
Do I need other APS modules to use Retention?
APS Payroll is required to access any APS module. Retention is part of the Workforce product and connects automatically to your payroll, HR, and headcount data. Retention works alongside Headcount, Position Management, and Automated Org Charts.
